Announcement of the EASTS financial support for paper presenters at the EASTS 2025 Conference

Eligibility

Applicants must meet the following four requirements.

(1) Applicants must submit a paper to the “Reviewed Paper” track at the EASTS conference 2025. Note that the presenters of “Non-reviewed Paper” are NOT included in the candidates for financial support.

(2) Applicants must submit an “Application Form for Financial Support in the EASTS 2025 Conference” by the deadline and be either a regular member or a student member of EASTS in the following countries at the time of application submission; Cambodia, China, Lao PDR, Malaysia, Mongolia, Myanmar, Nepal, Philippines, Sri Lanka, Thailand, and Vietnam.

(3) Neither a regular member nor a student member of EASTS from the country where the conference will be held (Indonesia at this time).

(4) Neither studying nor employed in Japan

Note: If the applicant plans to present the research products/outcomes acquired while studying in Japan, she or he must consult with their supervisor at that time, regardless of their current whereabouts.

Selection criteria

The EASTS Secretariat Office will select up to 10 applicants from each domestic society for financial support, based on the evaluation score of the application forms. In the case of a tie in evaluation scores, priority will be given to younger applicants and/or those requesting lower (discounted) travel expense from the same departure area.

A confirmation email will be sent after the application is submitted. If you do not receive the email, your application may not have been completed successfully. Please check your spam folder. If the email is not found, contact the Financial Support Division (fs2025@easts.info).

Coverage

– Airfare (including fuel surcharge, airport tax, and other fees): Must be the most economical route from your place of residence to Surakarta, using the lowest available economy class fare.
– Accommodation: $50 per night, Maximum of $200 for the entire stay.
The above expenses will be reimbursed during or after the conference. Details regarding the reimbursement procedure will be announced separately.

Submission Deadline for Financial Support Application:
20:00, June 13 June 18, 2025 (Japan Standard Time)

Notification of Financial Support Selection Results:
August 4, 2025
(Please note that the notification date may change depending on the screening process.)

Note

If you intend to apply for Financial Support upon acceptance of your presentation, and you have not received the Notification of Review Result by June 15, please notify us of your intent by email no later than June 15 at the address below. This condition applies only to those who meet both criteria. In such cases, an alternative application procedure will apply.

Please note that any inquiries or requests regarding this matter received after June 18 will not be accepted.

The alternative application procedure:
You may submit your application by email to fs2025@easts.info within three days after receiving your notification, even if this is after the June 18 deadline.

In such cases, please include a copy of the notification email—showing the date and time it was received—and provide the following information in your message:

– Applicants must already meet the eligibility requirements for Financial Support, and
– Must have received their Notification of Review Result on or after Monday, June 16.
(If you are still able to submit via the online form before receiving the notification, please continue to use the form.)

Submission deadline:
– Within three days of receiving the notification of review result

Required submission materials:
– A copy of the notification of review result (with visible receipt date/time)
